Your Direct Number

A user's direct number is a phone number assigned to an individual (not a shared line, call queue, or auto attendant).  A CSUSB Employee (Staff, Faculty, MPP) that does not have an direct number will be assigned one during the migration to Teams Phone.

Getting Started

Set up your Voicemail Greeting
  1. Select Settings and more Select to see more options next to your profile picture at the top of Teams.
  2. Select Settings Settings button.
  3. Go to Calls Audio call button.
  4. Scroll down to Manage Voicemail.
  5. You have two options to set your greeting message:
    1. Click Record a greeting and record your own voice
    2. Type a message in the Your custom greeting box.  The system will use text-to-speech to say the greeting to callers.

The changes are automatically saved.  Any callers that are sent to voicemail will hear the new greeting.

Set up speed dials
  1. Click the Calls tab.
  2. The Speed dial section will appear on the right side of Teams.
  3. Click the Add Teams add member to chat, and then search for their name or number.
Change your ringtone
  1. Select Settings and more Select to see more options next to your profile picture at the top of Teams.
  2. Select Settings Settings button.
  3. Go to Calls Audio call button.

Under Choose a ringtone, you can set the ringtone for calls for you, a ringtone for forwarded calls, and a ringtone for delegated calls.

 
Tip - Set a Secondary Ringer

Device settingsIf you are using a headset and may remove it between calls, you may wish to set a secondary ringer so that any call rings your headset and your computer as a secondary ringer.

  1. Select Settings and more Select to see more options next to your profile picture at the top of Teams.
  2. Select Settings Settings button.
  3. Go to Devices  Teams settings device icon.
  4. In Secondary Ringer, select another device, e.g. computer speakers

Calls Tab

There are many ways to make a call.  One method is using the Calls tab.

  1. Click the Calls tab.
  2. Either dial a number using the keypad, search for a contact, or select from your speed dial list.
  3. Click the Call button to connect.

Note: If you are a member of a call queue, there will be an option to call as the other number (arrow to right of the Call button).

Answer a call

Incoming Direct Call

  1. When you receive a call, a notification will appear.
  2. Click Accept to answer or Decline to send to voicemail.

You can also choose to answer with video if the caller is using Teams.

Check Voicemails
  1. Click the Calls tab Calls button.
  2. In History, click the All button and select Voicemail.
  3. Select a voicemail.
    • On the right side, view the transcript, review the details (date and time), or click play to listen.

Voicemails are also emailed with the audio recording and transcript.

Make a call from your History
  1. Click the Calls tab Calls button.
  2. In History, click the All button.
    • Note: Click the All button to filter between Missed, Incoming, Outgoing, or Voicemail.

  3. Select Voicemail from the dropdown.
  4. Select More actions More options button next to their name > Call back Calls button from the call history list. Alternately, move your mouse over the date of call and select Call Calls button.

While on a call in Teams

Place a call on hold

During a call, on-screen controls appear.  

Select Hold at the top of your call window. You won't see this option if you're in a scheduled Teams meeting.

Everyone on the call is notified that they're on hold. You can continue your call by selecting Resume.

People on hold (including you) can't see or hear anyone else on the call, and screensharing is temporarily suspended. Everything returns to normal once you resume your call.

Transfer a call

During a call, on-screen controls appear.  

Select Transfer at the top of your call window. You won't see this option if you're in a scheduled Teams meeting.

Consult then transfer

If you want to check in with someone before you transfer a call to them, select More actions More options buttonConsult then transfer.

Under Choose a person to consult, start typing the name of the person you want to reach and select them when they appear. You can call them or consult with them over chat. When you're ready, select Transfer.

Add other people to the call (create conference)

During a call, on-screen controls appear. 

  1. Click People at the top of your call window. Conference button
  2. In the Invite more people dialog box, enter a Contact or number in the Search.
  3. Select the contact’s name OR phone number that appears in the search result.
  4. Once the call is accepted, the invitee will show up on the Attendees list.
